This webpage deals exclusively with the regulations and processes concerned with the planning and organization of accommodated testing once accommodation has been awarded by Accessibility services.

Accommodated Testing provides a test and exam environment for students with academic accommodations when those needs cannot be met in the classroom, such as when exam accommodation includes extended time or a distraction-reduced environment. This ensures that students with documented needs have equitable access to exams while maintaining the integrity of the assessment. In order to access Accommodated Testing at the Test Centre, students must be registered in advance with Accessibility Services. 

Organization of Accommodated Testing (Exam Bookings/Times)

  • Accommodated Testing exams will only be scheduled at times that allow the test-taker to receive their full time allotment. If a test-taker chooses to schedule an exam at a time that limits their full time allotment, they will be required to sign an Acknowledgement of Reduced Time Limit form.
  • Extended time will be calculated based on the duration scheduled for the in-class test or exam (or FCT, if applicable) for students without accommodation.
  • Instructors will share all exam details to testing services, including access code, permitted resources, etc. no less than 7 days before the scheduled exam by email/software.
    • All final exams should be submitted by the end of the week before immediately preceding the final exams week.
  • Instructors should avoid making changes to the date, time and length of their accommodated tests after the release of the relevant course outline.
  • Any requests to change booking in terms of the time allowed will not be accepted if prior communication has not been received from the instructor concerned. Changes within seven (7) days of an agreed test date will only be accepted in exceptional circumstances.
  • For exams on Canvas, instructors are asked to set the start time five (5) minutes after the student’s appointment time to allow for required checks and procedures.
  • Accommodated Testing is not responsible for monitoring Canvas for changes to exam length and availability.
  • Accommodated exams may not start or be completed at the same time as the in-class or FCT test. During peak periods, it may be impossible to schedule the accommodated exam on the same day. To support students booking exams proactively with Accommodated Testing, instructors should avoid making changes to the date, time, and length of their scheduled tests/exams after the release of the relevant course outline.
  • Completed exams will be available for collection after 12 noon on the first working day after the student has sat the exam.

Students are responsible for:

  • Booking their exam appointments through Accommodate at the start of the term, once course outlines are provided, or as soon as the exam date is confirmed by their instructor.
  • Booking their exams appointment on the same date the exam is scheduled in class.
  • Ensuring they are booked at least seven (7) calendar days before all testing dates. Final Exams must be booked by the deadline posted by Accommodated Exams.

Students who have not booked an Accommodated Testing appointment at least seven (7) days prior to their test or exam date may be unable to write with Accommodated Testing due to space limitations. In such cases, students will be required to write the assessment with their class and may not receive their accommodation. Any exceptions must be approved by the Dean of the Centre of Business, Arts and Science.

Rescheduling procedure: 

  • Students who are unable to attend their scheduled appointment must contact accommodatedtesting@lethpolytech.ca as soon as possible to cancel or to re-schedule.
  • A $50 fee will be applied for rescheduling requests made within 24 hours of the appointment.
  • A $50 fee will be charged for no-shows; this fee may be waived at the discretion of the Dean of the Centre for Business, Arts and Sciences.

Instructors are responsible for: 

  • Ensuring that Accommodated Testing receives the exam and/or online exam details (access code, permitted supports, etc.) 7 days prior to the exam. Upon students booking an accommodated exam, instructors will receive an email from Accommodate that includes exam details (date and time of the booking).
  • Inputting time accommodations to Canvas exams and ensuring exam availability on Canvas aligns with the student’s appointment time.
  • Dropping off printed versions of paper exams to Accommodated Testing with the completed Exam Drop Off Form at least seven (7) days prior to the exam.
