Transcripts
You may need official or unofficial transcripts to apply for scholarships, internships, or transfer to another program or institution. After graduation, transcripts are often required for job applications, further education, professional certifications, or to verify academic achievements. Transcripts provide a comprehensive record of courses taken, grades received, and degrees earned, and are an important document for academic and professional purposes.
Transcripts are not issued to any student who has not fulfilled their financial obligation to Lethbridge Polytechnic, and the polytechnic shall not be held responsible for meeting deadlines that are not those of the polytechnic.
Official Alberta Learning High School transcripts and Official Apprenticeship grades can be ordered online from the Alberta Government.
Transcripts are requested through the following ways:
Current students, or students who attended Lethbridge Polytechnic within 16 months:
Unofficial transcripts can be accessed through Self Service. To access, follow the steps below:
- Log into Self Service
- Select Academics on the left-hand side of the menu
- Select Unofficial Transcripts
Official transcripts can be requested through Self Service. To access, follow the steps below:
- Log into Self Service
- Select Academics on the left-hand side of the menu
- Select Transcript Requests
- Select Add New Request
Important information when requesting your official transcript:
- Transcripts with current grades and courses
- Transcripts that are requested through Self Service will be uploaded within two business days to MyCreds
- Transcripts with final grades
- After final grades are submitted by the instructor, the Registrar's Office will verify final grades submitted and apply academic standing. During this time students will not have the ability to request transcripts
- After final grades are verified and standing applied students will be eligible to request a transcript which will show all final grades for that term
- Students are strongly recommended to view their unofficial transcript through Self Service before requesting the official transcript to be uploaded to MyCreds
- Final grades and academic standing will typically be finalized one week after the final grade submission deadline
- Transcripts with graduation notation
- Once the Registrar’s Office has graduated you, a notification will be sent to your Lethbridge Polytechnic email. At that time, you may request a copy of your transcripts on Self Service and it will include your graduation notation.

After submitting your request, the Registrar’s Office will upload your transcript to MyCreds.
Students who attended Lethbridge Polytechnic longer than 16 months ago:
Official transcripts can be requested through the Transcript of Academic Record form. After submitting your request, the Registrar’s Office will upload your transcript to MyCreds.
Lethbridge Polytechnic uses MyCredsTM, Canada’s digital document wallet, to issue transcripts and other official documents in a secure digital format. MyCredsTM is the official online document sharing system of the Association of Registrars of the Universities and Colleges of Canada (ARUCC). View full details on MyCreds.
Documents issued through MyCreds are certified, official and can be securely shared with other educational institutions, employers and other third parties. MyCreds allows you to access your documents anytime, from anywhere and share them as often as you need.
Once your transcript is uploaded to MyCreds, you will be sent an email to notify you it is ready for you to access. You will need to purchase Share Credits ($15.00 per share) in order to share your transcripts with third parties.

When you apply to another Alberta post-secondary institution through ApplyAlberta, the new institution will request your transcript to be sent to them electronically on your behalf.
Once requested, transcripts normally take 2-3 business days for processing.
The Registrar’s Office maintains all post-secondary transcripts dating back to our founding in 1957. While our institution has undergone several name changes over the years (see below), transcripts for courses completed after 1985 will reflect the name Lethbridge Polytechnic.
Records from earlier years may list one of the following historical institution names, depending on when courses were completed:
- Lethbridge Junior College (1957–1969)
- Lethbridge Community College (LCC) (1969–2007)
- Lethbridge College (LC) (2007–2024)
Academic Standing
Your academic standing is the result of your academic performance in each term. It is based on your term grade-point average (GPA) and determines your eligibility to register in a future term. For each term, you will be assigned one of six academic standings.
Please note that our Grading Policy and institutional academic standing has been updated for Fall of 2024. The following changes to academic standing came into effect on July 1, 2024.

Reinstated on Probation will be assigned to your Academic Standing if you have previously been disqualified and have been readmitted to the institution.
Academic Suspension or Expulsion will be indicated on the student transcript under the last completed term.
Academic Standing is assessed starting at the end of each term once all final grades have been submitted. Dates are as follows:

Academic Standing is recalculated when grade changes are submitted and approved for a specific term. Details about Academic Standing can be found in the Grading Policy.
Viewing Your Academic Standing
Your academic standing will be viewable on your official and unofficial transcript under each term you have attended.

To appeal a final grade awarded in a course you must first speak to the instructor of the course, as well as the Associate Dean. For detailed instructions and timelines of completing a grade appeal, please review the Final Grade Appeal Process within the Grading Policy.
Students cannot utilize the Grade Appeal process for grades assigned for individual assignments or exams. Only the final grade awarded in a course can be appealed.
You may be eligible to have credit awarded for learning gained through one of the following ways:
- Credit courses completed with a passing grade more than ten years ago
- A mix of credit courses that combine to meet the course outcomes of a Lethbridge Polytechnic course
- Informal education and training activities
- Self-study
- Work experience
- Volunteer activities
To start the Prior Learning Assessment process, discuss with your Program Chair or Designate. A faculty member will assess your knowledge, skills, and competencies for the course that you are seeking credit for using various tools. If successful, you will receive a grade of PLC for the course. A grade of PLC has no impact on your GPA.

Transfer credit is typically evaluated and granted before the start of the term. However, in certain cases, students may request an assessment once they have already begun their studies. For details on the transfer credit application process and corresponding timelines, please visit the Admissions - How to Apply page.
Please note, students must be accepted into a Lethbridge Polytechnic program before they can apply for transfer credit.
If you receive transfer credit, your Lethbridge Polytechnic transcript will indicate a grade of TR for transferred courses. A grade of TR has no impact on your Lethbridge Polytechnic GPA.
Graduation and Convocation
If you have completed all your program requirements or are pending completion based on successful completion of courses you are registered in, our Records team will review your program to determine your eligibility to graduate.
Graduation is the process that happens once you have completed all courses for your program and the Registrar’s Office has verified you are ready to graduate from your program. Once our Records team has confirmed you are eligible to graduate, we will put a notation that you completed your program on your transcript, as well as produce your credential (issued during each Convocation ceremony).
Convocation is the ceremony where you can cross the stage and celebrate the completion of your program! You will need to apply to attend the convocation ceremony.
Through Self Service, you will be able to check your status of your program completion.

- Select Review my Academic Progress

Instructions on how to request to attend the convocation ceremony, as well as details about the ceremony can be found on the Convocation website.
Please note there will be a convocation fee required at the time of application.
If you are deemed ineligible to graduate after you submitted your request to attend convocation, the Records team will contact you.

The conferral of credential will take place during the convocation ceremony. Once this is completed, parchments will be mailed out to the address on file for all students who do not attend the convocation ceremony.
Replacement Parchments
If your credential has been damaged or lost, you can request to have a new one created. Simply fill out the Request for Replacement Parchment form and email it to records@lethpolytech.ca. There is a $50 fee (plus tax) for a replacement parchment.
*If you are replacing a parchment created under a former institutional name, Lethbridge Community College or Lethbridge College, your replacement credential parchment will feature our current institutional name.
Changing your Name
Legal Name Change
- Ensure your legal name has been updated, as the name we have on file will appear on your transcripts and credentials.
- To change your legal name, complete the Legal Name Change form and submit it with government-issued ID to records@lethpolytech.ca.
- Your legal name will be used for your Lethbridge Polytechnic email address, student ID card, transcripts, and parchments.
This order begins with immediate academic concerns (grading and standing), moves to essential documents (transcripts), then addresses end-of-program procedures (graduation and replacement parchments), and finally personal updates (changing your name).
Chosen Name Change
You can change your preferred name through the Self Service for students, under your User Profile, and Edit Personal Identity.
Your preferred name will show on the course roster for your instructors reference.
