Important: Do not enter personal, confidential, or sensitive information into any AI tool unless it is explicitly approved for that purpose. When uncertain, pause and seek guidance before proceeding.

View approved AI tools

The following tools have been reviewed and approved for institutional use. Approval is specific to each tool and its conditions — being on this list does not mean all uses are permitted. Review the conditions for each tool before use.

Personal and free versions are not covered. Tools like ChatGPT Free, Microsoft Copilot Chat (personal), and similar are not approved for use with any Lethbridge Polytechnic information. The tools below are institutionally licensed and have been reviewed for responsible use.

  • Protected A data may only be used where you are authorized to handle it for a clear business purpose.
  • Use your institutional M365 account only.
Microsoft 365 Copilot

AI-assisted productivity across integrated Microsoft 365 applications, including drafting, summarization, and meeting support.

Availability: Limited to approved staff with Microsoft 365 Copilot licensing.

Public, Protected A, Protected B
  • Human review required before official use.
  • Protected B data requires explicit managerial authorization before use.
  • Automated workflows or system integrations require AI Governance Committee approval.
Microsoft Teams AI (Transcription)

Meeting transcription, summaries, and meeting support.

Availability: Staff through institutionally managed Microsoft Teams accounts and supported licensing.

Public, Protected A, Protected B
  • Participants must be informed when transcription or recording is enabled.
  • Not approved for Protected C information unless expressly authorized.
  • Transcripts and recordings must follow institutional data governance requirements.
ChatGPT (Business/Enterprise)

Drafting, summarizing, brainstorming, and general productivity support.

Availability: Approved staff through institutionally managed enterprise workspace accounts.

Public, Protected A
  • Institutionally approved enterprise accounts only.
  • Personal accounts are not approved for protected or sensitive institutional information.
  • Human review required before official use.
Gecko

Student communications, workflow support, and approved student service functions.

Availability: Authorized staff based on operational role and approved access.

Protected A
  • All student-facing communications must be reviewed by staff before sending.
  • Gecko does not make decisions about individual students — staff retain full responsibility.
  • Protected B use requires explicit role-based authorization.
Adobe Firefly

AI-assisted image generation and creative asset production.

Availability: Staff and faculty through institutionally managed Adobe accounts and applicable licensing.

Public
  • Generated content must comply with copyright, branding, accessibility, and institutional requirements.
  • No protected, confidential, or personal information in prompts or uploads.
  • Generated content should be reviewed before official or public use.

 

Need a tool that isn't on this list?

All AI tool requests are handled through the standard Software Acquisition process. If a Microsoft tool already meets your need, that will generally be the preferred option. New tools are reviewed before approval.
