​Accounts/Tuition refunds

There are many reasons your student account could be in credit, requiring a refund. Here are some examples:

  • Double payments with student loan and normal account payments
  • Dropped courses
  • Awards
  • Full withdrawal

Below are the details on how to get a refund process started for both domestic and international students.

Refunds will NOT be processed until after the Extended Drop date of each term. You can see this date on this link important dates.

If you are a domestic or international student, you may be able to transfer your credit to another term. Please email payfees@lethpolytech.ca to find out if you are eligible.

All students

Withdrawal from program (all classes are dropped program withdrawal form to be completed)

  • Any applicable refunds are automatically processed (only if withdrawal form is completed)
  • Students on government loans do not receive refunds when they withdraw or drop below full-time. Any resulting balances are sent to the lender as per legislation.

Complete Program Withdrawal (all course registrations dropped):

Official withdrawalCredit or Refund

Fall Term: Withdrawal by August 1

Winter Term: Withdrawal by December 1

Spring/Summer Terms: Withdrawal by April 1

For domestic students, full refund of tuition and related fees less 50% of required deposit.

For international students, full refund of tuition and related fees less 60% of required deposit. If proof of study permit denial is provided by the deadline, the deposit is 100% refundable less an administrative fee.

Fall Term: Withdrawal between August 2 and final day of add/drop

Winter Term: Withdrawal between December 2 and final day of add/drop

Spring/Summer Terms: Withdrawal between April 2 and final day of add/drop

Full refund of tuition and related fees, no refund of required deposit.

For international students, if proof of study permit denial is provided by the deadline, the deposit is 100% refundable less an administrative fee.

Withdrawal between Add/Drop and Extended Drop PeriodFull refund of tuition and related fees less a late drop fee for each course dropped within the program. No refund of required deposit.

Individual Course Drop (with minimum of one remaining course registration in place):

Apprentice Programs:

Non-Credit Programs

  1. Registrants in courses that are cancelled by Lethbridge Polytechnic will receive a full refund of tuition fees paid.
  2. A service charge may be levied on registrant-initiated withdrawals within 4 days prior to the start of a non-credit course
  3. Some programs may not be eligible for a refund

Note: non-attendance does not constitute automatic withdrawal.

Any other student account credit:

  • Request a refund by emailing payfees@lethpolytech.ca. Include your student ID number in your email.

Processing Times

Refunds typically take between 4 to 6 weeks to process from the time you withdraw from a class or submit your refund request for processing. Within 2 to 6 business days from the time your refund has been processed, you will receive automated emails confirming your refund and required next steps.

Refunds through PayMyTuition

Lethbridge Polytechnic has partnered with PayMyTuition for domestic and international refund processing. PayMyTuition will remit the refund to domestic students via Interac e-transfer, and to international students via bank transfer.

Domestic student refunds via PayMyTuition

Once the process for your refund has been initiated by Lethbridge Polytechnic, students will receive an email notification from PayMyTuition with instructions on the next steps:

You will then receive an Interac e-Transfer email instructing you to log into your myPolytech portal to retrieve your one-time passcode, which will allow you to securely access and collect your refund payment:

To Access the PayMyTuition Payment Center and retrieve your One-Time Passcode:

Log into your myPolytech portal:

From the login tile, select ‘Self Service’

From the home page, select the ‘PayMyTuition’ tile to be redirected to the PayMyTuition Payment Center:

Once you are redirected to the PayMyTuition Payment Center, select the “Refunds” tab to access your refund portal:

Review the “Outstanding Refunds” section for any active refunds, and click on the one-time passcode icon in the “Action” column to view your passcode:

Return to the Interac notification and select to deposit your funds at your desired financial institution:

*If your email address is registered for auto-deposit through your bank, you won't require a one-time passcode to finalize the deposit. Instead, when you select to deposit your funds, you’ll sign into your financial institution and the refund will auto-deposit upon signing in.

Important: Please complete the e-Transfer process within 30 days, after which it will expire. If you do not retrieve your passcode and collect your funds prior to the expiration date, your refund will be automatically cancelled, and the funds will be returned to your student account. You will be required to submit a new refund request should you want the funds returned to you.

International student refunds via PayMyTuition

Once Lethbridge Polytechnic has initiated the process of your refund, you will receive a notification from PayMyTuition with a link to access your refund form.

You can click on the link within the email to be redirected to your refund form:

Alternatively, your refund will be available by logging into the myPolytech portal and accessing the PayMyTuition Payment Center.

To Access the PayMyTuition Payment Center and Access your International Refund:

Log into your myPolytech portal:

From the login tile, select ‘Self Service’

From the home page, select the ‘PayMyTuition’ tile to be redirected to the PayMyTuition Payment Center:

Once you are redirected, select the “Refunds” tab to access your refund portal:

Within the “Outstanding Refunds” section, locate your available refund with a status of Initiated, and select the “Instructions” icon within the “Action” column to access your refund form:

Completing your International Refund Instructions

Enter beneficiary details:

Complete the online refund beneficiary instruction form, which requires currency, identification documentation (either passport or driver’s license), banking and beneficiary information.

You may choose to deposit the funds into someone else’s bank account. When you are directed to the PayMyTuition refund form, you will have the option within the Beneficiary Information tab to select someone else as the recipient and input their bank information:

Complete verification: 

Upon receipt of your completed beneficiary instructions, PayMyTuition will verify your request for accuracy. They will complete fraud and compliance checks to comply with various anti-money laundering and compliance laws.

Payment confirmation: 

PayMyTuition will send you a confirmation email once your beneficiary information has been verified and approved. You will receive a PDF summary that is password protected. This PDF can be accessed using the bank account number that you provided for your beneficiary bank as the password.

Refund processed: 

Once your refund has been processed, you will receive a notification that your refund is complete. Please allow 3 to 5 business days for the payment to be deposited to your account.
